You submitted a show to Apple Podcasts from Disctopia, and… it's not there yet. Don't panic — Apple's indexing pipeline runs on its own timetable, and a normal first-time submission can take 24 to 72 hours before listeners can find the show in the Apple Podcasts app.
This article explains the states a submission moves through, how long each one typically takes, and what to do if a show seems stuck.
Where to check status on Disctopia
Open My Library → Content. Each show and episode row shows a small Apple platform icon next to the other distribution icons. Hover the Apple icon to see the current status:
The tooltip text maps directly to Apple's pipeline stage. If a row has no Apple icon at all, that item was created before you connected Apple Podcasts — publish a new episode to trigger the first Apple delivery.
What "done" looks like on Apple's side
When everything works, your show shows up in Apple Podcasters Connect (PCC) under Podcasts → Shows with a green ✅ Available badge:
If you see your show here with Available, Apple has indexed it — listeners can find it in the Apple Podcasts app. If your show is missing from this list or the Disctopia tooltip shows a different status, work through the lifecycle below.
The lifecycle of a submission
When you publish a show on Disctopia with an Apple connection active, we go through this sequence:

Most common reasons for delay
"Awaiting Apple crawl" for more than 6 hours
This is the most common state we see questions about. It is normal. Apple processes submissions in batches and can take up to 12 hours just to acknowledge a new RSS URL, especially during peak times (Sunday and Monday mornings, around major podcast launches).
What to do: Wait. If it's been more than 24 hours in Awaiting Apple crawl, see the troubleshooting list below.
"Apple crawling" for more than 1 hour
Apple is downloading every episode in your feed to validate it. The more episodes you have, the longer this takes. A show with 500+ episodes can spend 30+ minutes in this state.
What to do: Wait. If you've been in Apple crawling for more than 3 hours, check the troubleshooting list.
"Approved" but I still can't find it in search
Search indexing is the slowest stage. Apple can mark a show as approved (it has a public URL on podcasts.apple.com) several hours before it shows up in the in-app search results. Try searching for the exact show title or visiting the Apple-provided URL directly first.
What to do: Use the direct URL Disctopia shows you in My Library. Search will catch up.
Troubleshooting checklist
If your show has been in the same state past the typical duration, run through these checks in order:
1. Is your RSS feed publicly reachable?
Open the RSS URL Disctopia uses for your show in an incognito/private browser window. You can find the URL in My Library → Show settings → RSS feed URL.
The page should load and show XML content. If it doesn't load, or shows an error page, Apple can't crawl it either.
2. Does your show artwork meet Apple's requirements?
Apple rejects shows with artwork that:
- Is smaller than 1400 × 1400 pixels
- Is larger than 3000 × 3000 pixels
- Is not a square (1:1 aspect ratio)
- Is anything other than JPEG or PNG
- Has obvious watermarks, URLs, or social handles burned in
Disctopia validates these at upload, but if you migrated a show that was originally uploaded outside Disctopia, double-check the artwork in Edit your podcast.
3. Are your episodes published (not drafts)?
Apple needs at least one published episode to approve a show. If your show only contains draft episodes, the crawl will succeed but Apple will reject the submission.
4. Does your show have a category set?
In Disctopia: Edit your podcast → Podcast Category. Apple requires a primary category from their published list. Disctopia defaults to a category if you didn't pick one, but a manually-chosen category is better.
5. Are you trying to claim a show that already exists on Apple?
If your show was previously published to Apple by a different host (Anchor, Buzzsprout, Libsyn, etc.), you need to claim it on Apple's side rather than submit it as new. You'll see a Claim Existing Show link in PCC under Podcasts → More Actions (visible in the "What done looks like" screenshot above). When to contact support
- It's been more than 72 hours since you submitted and your show is still not Available on Apple
- Apple tooltip in My Library shows Rejected with no clear reason
- You see an error message that mentions an
apple-show-submitfailure - You tried to claim an existing show and the verification token wasn't accepted
Please include:
- The show title
- Your Disctopia username
- The current Apple tooltip status as shown in My Library
- Any error message you can see

A note about Apple's "Validating" state
Apple sometimes silently moves a show from Apple validating back to Awaiting Apple crawl if they refresh their crawler. The submission isn't broken — it just goes through the queue a second time. If you see this happen, give it another normal cycle (24–72 hours) before opening a ticket.
